Heroes Upgrade Policy

 
  1. A St. Jude Hero is permitted to request an upgrade to their fundraising commitment through their fundraising coach. The commitment levels are pre-determined by St. Jude Memphis Marathon program team. The fundraising commitment levels are:

    • Platinum Premier - $10,000
    • Platinum - $6,500
    • Gold - $4,000
    • Silver - $1,750
    • Bronze - $750

    Heroes will need to complete a NEW waiver to complete the upgrade request within 48 hours of approval. Upgrades cannot be guaranteed and are based upon availability. Upgrades are not automatic and must be requested by September 30th

     
  2. Inventory, benefits, and available reservations associated with each fundraising commitment level are limited and thus requests must be submitted to ensure benefits can be accommodated. Upgrades are not automatic when an individual surpasses a fundraising commitment level and must be requested for approval. Upgrades are approved based on available capacity.  

  3. St. Jude Heroes and general participants interested in a committing to a St. Jude Heroes fundraising commitment level.

  4. This is the procedure for both general participants wanting to commit to a St. Jude Hero Fundraising Level and St. Jude Heroes wanting to increase to a new Fundraising Level Commitment. Requests are not guaranteed and based on available capacity. 

    1. Territory Lead or ECC will complete the change request form: Signature Hero Change Request Form (smartsheet.com) 
    2. Within 48 hours, both the Hero and Territory or ECC rep will receive an email notifying of request status. If request is approved, Hero will have 48 hours to complete the updated waiver. Waivers not completed within 48 hours will result in an automatic cancellation and must be resubmitted if upgrade is still warranted.
    3. To check the status of a current request, please reach out the SJMMW – Endurance teams channel and tag Danielle Serlin. Please include:
      • Hero Name
      • P2P ID
      • Heroes Email
  5. A change to a St. Jude Hero Fundraising Commitment that results in an increased predetermined fundraising level.

 
 

Event Cancellation Policy

 
  1. You may cancel your registration at any time. There are no refunds. All registration fees and funds raised to-date will be donated to the kids of St. Jude. There are no transfers between participants or to a new participant, or any deferments.

    For in-person registrants who opt not to participate in the event, event shirts, medals, and any other applicable items will not be shipped. 

     
  2. General participants are not required to notify St. Jude or request approval to cancel, but are responsible for collecting their in-person items (depending on race type).

  3. General race participants.

  4. Event participation cancellation for general participants does not require notification. In-person participants will still need to attend the Health and Fitness Expo to pick up their race benefits.
  5. When a general participant opts to no longer participate in the event.

  6. All registration fees and funds raised to-date will be donated to the kids of St. Jude. There are no transfers between participants or to a new participant, or any deferments.

Heroes Cancellation Policy

 
  1. In certain instances, a St. Jude Hero may be exempt from meeting the required minimum Fundraising Commitment resulting in their race participation cancellation. This only applies to the following circumstances: 

    • Medical injury, with a valid doctor’s note on office letterhead
    • Pregnancy, with a valid doctor’s note on office letterhead
    • Military deployment, with a valid letter from the commanding officer 

    Upon cancellation based on one of the above extenuating circumstances, a St. Jude Hero will be released of their fundraising commitment via email communication.  There are no refunds, transfers between participants or to a new participant.

    This applies to both virtual and in-person St. Jude Heroes.

     
  2. A commitment as a St. Jude Hero is a commitment to the Kids of St. Jude. Once registered with a fundraising commitment as a St. Jude Hero, individuals are responsible for meeting their commitment. Their registration reserves one of the limited St. Jude Hero spots available at each fundraising commitment level, and reservations, benefits, race type, and race distances are impacted by each Heroes registration. 

  3. St. Jude Heroes

    1. For expedited responses, please connect with your territory lead to inform of cancellation request and reason with the appropriate attached documents. If you do not know your territory lead, please email marathon@aslac.stjude.org with your request and the appropriate documentation. Cancellation requests will only be accepted for qualifying reasons.
    2. Territory lead or ECC will complete a form in the provided link: Signature Hero Change Request Form (smartsheet.com).
    3. Please be sure to attach the required documentation
    4. If request meets the cancellation standard, Hero and their territory rep will automatically get an email confirming the Heroes Fundraising Commitment Cancellation resulting in cancellation of race registration.

  5. Heroes are only approved to cancel participation for qualifying reasons. Heroes who choose not to participate in the event will still be required to fulfill their Fundraising Commitment. St. Jude Heroes who do not fulfill their fundraising commitment will not be eligible to participate in any other St. Jude Heroes programs until the current fundraising commitment has been met, unless otherwise approved by the ALSAC Endurance Program Team.

Participation Type Change Policy

 
  1. Race Distance Transfer
    A registered participant may request a one-time race distance transfer if that distance has not sold out. Once a distance sells out, change request will not be accepted. This also applies to request being made at the Health & Fitness expo during race weekend. In-person race participants must partake in the distance allocated on their race bib. 
    Virtual participants must request a race distance transfer to have their race distance accurately displayed in RTRT.me. 
    The distances for the St. Jude Memphis Marathon are 5k, 10k, Half Marathon, and Marathon. There are no refunds for participants that transfer to a shorter race distance.
    Request made after October 15th, will not be accepted.  
    All program fees and funds raised to date will be donated to the kids of St. Jude.

    Race Experience Changes
    A registered participant may request a one-time change to participate in the in-person or virtual experience. When a race type is changed, the associated benefits with the previous race type is no longer valid. This applies to all St. Jude Hero request. 
    Request made after October 15th, will not be accepted. 
    All program fees and funds raised to date will be donated to the kids of St. Jude.

     
  2. To ensure all participants have a safe running experience. Space within each in-person distance is limited and this policy ensures a safe on course running experience. Inventory, benefits, and reservations are also limited and this policy ensures that all participants receive their race items and associated benefits in a timely manner.

  3. All race participants (general participants and St. Jude Heroes). 

  4. This is the procedure for both general participants wanting request a change to their Participation Type. Requests are not guaranteed and based on available capacity. All requests must be submitted prior to October 15th to be considered.

    1. Territory Lead or ECC will complete the change request form: Participant Type Change Request Form (smartsheet.com)
      • For General Participants only:
        1. Within 48 hours, participant will receive a phone call from Jayla Hubbard. At this time, participant will be required to pay any difference in registration fee.
        2. Once fee is collected, participant will receive a confirmation email. Participant must save this email as confirmation. 
      • For St. Jude Heroes:
        1. If request is approved, participant and Territory Lead will receive email confirmation.  updated waiver.

  5. The specific event distance that an individual register for - Marathon, Half Marathon, 10K, or 5K as an in-person or virtual participant.

    • Participation Request Dealine:  The final date that all race participants to request changes to their participation experience or race distance transfers are subject to availablity.
    • Mile Conversion: 
      • 5K: 5.3 Miles
      • 10K: 6.2 Miles
      • Half Marathon: 13.1 Miles
      • Marathon: 26.2 Miles
  6. No change requests will be honored after the Participation Requests Deadline.
